At Claire Latham Counselling your privacy is treated with care and respect. This policy outlines how your personal information is collected, stored, and protected in line with the EU/UK General Data Protection Regulations (GDPR) 2018.
Secure Storage
I make every effort to keep all information confidential. Any personal information you share is stored securely - either in a lockable filing cabinet at my home office or within a secure online space. This may include your contract, referral form, and minimal written notes from therapy sessions.
Where possible, identifying details are removed or coded to protect your anonymity. Information is stored for three years, as legally required, after which it is safely erased or destroyed.
Sharing Information
As a sole practitioner, I am the only person who accesses your records. I do not share your personal information with other counsellors or organisations unless legally required or explicitly agreed upon.
In cases of contracted work (e.g., referrals from services), relevant personal information may be shared with the referring party. This will always be a known and trusted organisation already involved in your care, and any shared records will be stored securely.
Legal Exceptions
Everything shared in counselling is confidential. However, there are rare legal exceptions where I may be required to share information:
• If you disclose a serious risk of harm to yourself or others
• If you reveal knowledge of terrorist activity
• If I receive a court order requesting access to counselling notes
In such cases, I will always aim to discuss this with you first, unless doing so would increase risk.
Your Rights
Right to Access
You have the right to request a copy of your personal information, free of charge, in electronic or paper format. You may also ask me to correct any inaccurate details.
Right to Be Forgotten
You may request that I erase any personal information I hold about you, especially if it’s no longer relevant or you wish to withdraw consent. This will be honoured unless I am legally required to retain the information.
Data Portability
You have the right to receive your personal information and transfer it to another party, should you wish.
